K-Print is an Estonian printing house with customers all around Europe. We have the best offset and digital printing machinery combined with a wide variety of finishing possibilities on site: lamination, hot foil, embossing, die cutting. K-Print´s  goal is to make life easier for our customers by offering complete solutions and reliable, on-time deliveries. We care about reducing our impact on the environment. That’s why we improve our production processes, cut down on waste, recycle as much as we can, and help our customers choose more eco-friendly options. We believe it is important to keep our company growing in a sustainable way – both in the way we produce and the way we manage our work.

K-Print is committed to the high standards of business integrity, service quality and sustainability and an important part of assuring our customer expectations and company’s sustainability goals is to ensure that K-Print works with suppliers who follow sustainability and ethical principles.

K-Print has therefore developed this code for suppliers and every supplier is expected to fulfil the following principles:

National and international laws and regulations

The Supplier shall understand, have procedures in place and conduct its business in full compliance with the governing laws, rules and regulations and the Supplier Code of Conduct, including:

·      The 1948 UN Declaration of Human Rights (see www.un.org);

·      UN Convention on the Rights of the Child, Article 32 (see www.un.org);

·      The ten principles of the UN Global Compact (see www. unglobalcompact.org, https://unglobalcompact.org/what-is-gc/mission/principles);

·      The eight core ILO Conventions Nos 29, 87, 98, 100, 105, 111, 138 and 182 (see www.ilo.org);

·      the labour protection and health and safety legislation applicable in the Supplier’s country;

·      the labour law, including, where applicable, minimum wage legislation, and social security protection applicable in the Supplier’s country;

·      General Data Protection Regulation (GDPR)

If the law in force in the Supplier’s country imposes higher requirements than those resulting from above mentioned global conventions and declarations,  the Supplier shall comply with the national legislation.

The headings below specify and in some cases tighten some of the above requirements/principles. K_Print customers may have additional requirements, which will be further communicated to the Supplier.

Human and labour rights

The Supplier shall support and respect internationally recognised human rights and ensure that the Supplier is not directly or indirectly involved in human rights violations.

Labour and employee’s rights

Fundamental workers’ rights, as expressed in the ILO Conventions, and decent working conditions must be respected to ensure the right to freely chosen labour, freedom of association, no use of child labour, protection of young workers, fair wages, regular employment and decent working hours, non-discrimination and humane treatment.

·      No incidence of forced labour (ILO 29 and 105)

The Supplier shall not use, directly or indirectly, any form of forced or compulsory labour. The Supplier shall not compel the employee to deposit valuables or identity papers.

·      Freedom of association and the right to organise (ILO 87 and 98)

The Supplier shall facilitate regular meetings between employees and management to discuss wages and working conditions without adverse consequences for the employees.

·      No incidence of discrimination (ILO 100 and 111)

The Supplier shall not discriminate, threaten, oppress or harass any employee. With regard to discrimination, it should be noted that the Supplier may not discriminate on the basis of ethnicity, gender or transgender identity or expression, religion or other beliefs, social origin, disability, political opinions or sexual orientation.  The supplier must ensure that incidents of discrimination are reported and dealt with fairly.

·      No incidence of child labour (ILO 138 and 182)

The Supplier shall not directly or indirectly exploit child labour as defined in the ILO Conventions.

·      Wages and working hours

The Supplier shall pay wages directly to the employee, at the agreed time and in full. Working hours shall be regulated and reasonable. Deduction of wages as a disciplinary measure is not allowed.

·      Work environment, health and safety

The Supplier shall ensure a safe and healthy working environment and inform employees of the possible health risks that the work may entail. All employees shall have access to and use relevant protective equipment. Health and safety risks shall be managed systematically. Accidents and occupational injuries shall be prevented. National health and safety legislation in the Supplier’s country shall always be complied with.

Environment

The Supplier shall work proactively in order to minimize its negative environmental impact from its operations, products and activities, including reduce its energy and resource consumption as well as its waste and emissions to soil, atmosphere and water. National environmental legislation in the Supplier’s country shall always be complied with.

Business ethics

The supplier conducts its business activities honestly in compliance with fair business practices, the relevant national legislation of the Supplier’s country, the above-mentioned international agreements and the requirements set out in this Supplier Code.

The Supplier must not be guilty of any type of corruption, bribery or money laundering and must work proactively to prevent all types of corruption.

Conflicts of interest that may adversely influence business relationships, any payments or other favors given to any government official to influence decision-making, giving unfair advantages and gifts, fraud and other prohibited business practices must be avoided.

Information security and personal data protection

The Supplier who has access to sensitive information related to K-Print activity shall establish technical and organizational measures (e.g users authentication techniques, password policy for users accounts, user access provisioning process, etc) as safeguards against accidental or unlawful destruction, accidental loss, alteration, unauthorized disclosure and has implemented appropriate security procedures to ensure that unauthorized person do not have access to the data processing equipment used to process personal data controlled by K-print, and that any person authorized by it to access such personal data respects and maintains the confidentiality of the data. Relevant laws and regulations on personal data protection (GDPR) shall be complied with.

Supply chain

As far as it is within the Supplier’s Control, supplier shall have a process to communicate requirements equivalent to this Supplier Code of Conduct to their suppliers and subcontractors and to monitor its compliance to these requirements.

Ensuring compliance and audit

The Supplier shall comply with the relevant national legislation of the Supplier’s country, the above-mentioned international agreements and the requirements set out in this Supplier Code.

The Supplier shall have appropriate, adapted to the supplier’s size and complexity of operations and proportion of risks, control systems, accounting and business records to ensure that it fulfils those requirements. At K-Print request, the Supplier shall join K-Print selected monitoring platform to assess sustainability.

The Supplier shall have a mechanism for handling employee and third-party complaints. All complaints must be investigated promptly and effectively.

If there are any questions regarding the compliance, we encourage our suppliers to communicate and discuss openly with K-Print representatives to achieve the compliance.

K-Print will reserve the right to carry out supplier verifications or audits of compliance with the Supplier Code (e.g. a full or partial oral or written, announced or unannounced audit and/or on-site survey/sampling, evaluation, etc) and expect the Supplier to cooperate in an open manner. The Supplier shall promptly provide the information requested by K-Print and shall also, where applicable, provide access to production sites, etc. where this is required for the audit to be carried out in an appropriate manner. If any non-conformities are discovered during the audit, these must be corrected as soon as possible within agreed time. In case of serious violations, K-Print has the right, but not the obligation, to terminate all agreements with the Supplier.
